FRONT DESK RECEPTIONIST / PART-TIME (Posted February 28, 2012)

This part-time position at the Longy School of Music will serve as the initial customer service contact for the School’s incoming calls, as well as for walk-in inquiries made by students, faculty, staff, and guests.  In addition, this position will provide support for the administrative needs of the staff and maintain an organized information and communication system with other front desk staff. 

Responsibilities include:

  • Ensure that the front office is open for business promptly.  Must be available to work Saturdays, Sundays and evenings.  
  • Assist Longy faculty, students, parents & guests by phone or in person with:
    • Room reservations
    • Community Programs Registration
    • Lending Keys
    •  Paychecks/ signing-out
    • T-Passes
    • Concert Ticket Sales
    • Distributing forms
    • Other tasks as assigned
  • Assist with mailings, copying projects, and maintaining proper signage for special events.
  • Sort, deliver, and meter all incoming and outgoing mail and express deliveries
  • Monitor and reserve parking for faculty and guests
  • Coordinate A/V equipment usage with appropriate department when needed.

ACCOUNTANT - PAYROLL, ACCOUNTS PAYABLE, ACCOUNTS RECEIVABLE (Posted February 9, 2012)

This is a full-time position.  Reports to: Director of Finance.

RESPONSIBILITIES
The accountant performs key Business Office functions and provides overall support to the Director of Finance and special project work for the Chief Financial Officer, and the Director of Human Resources.

  • Manage core business office functions of accounts receivable (A/R) and accounts payable (A/P), including vendor relations, file maintenance, etc.;
  • Process semi-monthly payroll for approximately 230 employees using ADP PayeXpert. In addition, process internal and government employment statistical reports as required and coordinate the distribution of annual 1099, 1042, and W-2 forms;
  • Support the Human Resources Department with new employee tax paperwork and benefits enrollment. Process monthly 403(b) plan contributions.
  • Process cash receipts (including bank deposits): student tuition payment, individual and corporate gifts, foundation grants, etc.;
  • Prepare monthly/annual reconciliation of selected general ledger accounts;
  • Assist in year-end closing and the annual audit;
  • Manage student service related business activities such as loan reimbursements, student health insurance waiver/enrollment, and monthly payment plans;
  • Assist in maintaining schedules of prepaid expenses and accrued liabilities;
  • Assist in preparation and maintenance of Longy’s master administrative calendar;
  • Manage general office supply orders for school-wide use;
  • Develop and maintain various spreadsheets, analyses, and budgets as required.
  • Interact with staff, faculty, and students on daily basis

QUALIFICATIONS
Position requires a minimum of three years of previous business office experience, preferably in a nonprofit organization, demonstrated knowledge of accounts payable and receivable, and understanding of accounting principles; a minimum of associate degree in accounting is required. Two years of solid experience in payroll processing using ADP PayeXpert software is a must. The ideal candidate must be customer service oriented, attentive to details, able to work independently and collaboratively, and have excellent communication skills. Must be proficient with Microsoft Excel and Word.

PRODUCTION AND RECORDING SERVICES MANAGER (Posted October 2011)

The Longy School of Music seeks an enthusiastic and motivated professional who can oversee all production and technical aspects of Longy’s concerts and events.  This is a full-time position, requiring frequent evening and weekend work. This position reports to the Facilities Manager.

Successful applicants will have significant stage management and production experience, working knowledge of PA/audio and lighting systems, and will have acted in managerial and supervisory roles.

Responsibilities include, but are not limited to:

  • Manage daily schedule of the school’s performance spaces, including set up and striking of events
  • Liaise with Longy faculty, staff, students, renters and other performers regarding scheduling, production and recording needs.
  • Hire, train, schedule and supervise all Concert Office staff, including production assistants, recording assistants, stage managers, stage hands, house manager, ushers and box office staff.
  • Assist in developing school’s overall concert and events schedule by coordinating Departmental booking and scheduling student and faculty recitals and other events; produce and distribute concert and event schedule.
  • Manage audio and video recording:  develop and communicate recording guidelines; record performances, recording sessions, and auditions; master recordings through editing and/or dubbing; maintain recording archive.
  • Provide or arrange for sound reinforcement as needed.
  • Maintain Hall equipment; order supplies as necessary; schedule outside contractors including sound and lighting technicians.
  • Establish tuning schedule for Pickman Hall pianos.
  • Lead production meetings for large events as necessary.
  • Review and negotiate technical riders/contracts for outside organizations and guest artists.
  • Support the production of various Concert Series by: (1) meeting with Dean/Artistic Director to plan Faculty Artist Recitals and Debut Series; (2) collecting program, biographical, and production information from in-house and guest artists; and (3) serving as liaison between publicity, advancement, and other offices around event
  • Work closely with the Office of Communications to:  (1) meet with Dean/Artistic Director to plan concert series; (2) proofread monthly concert calendar and concert-related materials; and (3) supervise the overall Concert Hall schedule, meeting with Dean/Directors to develop scheduling strategy/priorities each year
  • Visit conservatory classrooms multiple times per year to teach students how to video themselves, edit it, and put it online
  • Produces programs for all student and faculty concerts and recitals. Responsible for soliciting program content, bio info, enforcing deadlines, etc. Responsible for printing programs.
  • Project manages/plans concert programs for major concert series including G-S, Unique Voices, SeptemberFest, and LCO. Responsible for soliciting program content, program notes, bios, etc. Works in conjunction with conservatory dean.  Manage relationship with performers, confirming day-of concert details with them, etc.
  • Updates phone line with current concert information
  • Produces tickets for concerts
  • Provide additional administrative and logistical support for Concert Office operations as needed.

Qualifications

  • BA with minimum of 3 years of stage management and production experience
  • Excellent attention to detail, well organized, self-motivated
  • Ability to work independently
  • Excellent customer service skills and ability to work with a wide range of both internal and external constituents
  • Must be fluent in ProTools LE 8 or later, Logic Studio, and Microsoft Office and have working knowledge of Final Cut Studio.
